Job Description
The Li Ka Shing Library invites dynamic, innovative, service-oriented individuals to apply for the position of Administrative Executive.
This position serves as the PA for the University Librarian, provides additional support for the Library leadership team and other teams such as Customer Services, Information Services, Course Support, etc, within the library, manages a variety of administrative duties such as ordering and organization of non-library material supplies, working with eWise and SAP, acting as the first point of contact for building maintenance issues with Facilities Management, liaising with other departments and schools in a variety of other matters including events.
The successful candidate is flexible, responsible, enthusiastic, is able to work with minimal supervision and with diverse groups. He/she must be an effective team player in supporting the administrative functions of the Library.
Responsibilities:
- Serve as building liaison (both the Li Ka Shing Library and the Law Library to be built):
- ensure fixtures, furniture and equipment in library building(s) are in good working condition
- security management along with Customer Service
- Order and maintain office supplies
- Order and maintain pantry supplies
- Manage record keeping / filing
- Serve as the coordinator for events to be held at and by the Library
- Be the PA for University Librarian and offer administrative support to other members of staff with administrative issues regarding eWise, Travel Manager, etc
- Provide support to other departments in the library on a ‘needs’ basis
- Any other tasks as assigned by the University Librarian
Requirements:
- Diploma / Basic Degree (preferred) in any discipline
- About 3 years relevant experience
- Ability to develop and maintain collaborative relations with faculty and staff
- IT capability with working knowledge of MS office application software
- Customer service oriented
- Excellent interpersonal and communication skills (especially written skills)
- Organised, meticulous and responsible
- Ability to work positively, productively with diverse agencies in an environment of rapid change
- Able to work with minimum supervision
- Demonstrates supervisory skills (preferred)
